What is a Press Release?
A press release is a formal, written statement issued to the media and public to announce something newsworthy. It serves as a way to communicate important information about events, projects, or achievements in a concise and professional manner. For artists, a press release is a vital tool to generate media coverage, attract attention to new work, and build a public presence.

Whether you’re promoting an exhibition, a new album, or an upcoming performance, a press release helps get your message to the right audience. It is typically distributed to journalists, bloggers, and media outlets with the goal of sparking interest in the artist’s work, leading to interviews, reviews, or features.

Why Do Artists Need Press Releases?
For artists, media exposure can significantly boost visibility and help expand their audience. A well-crafted press release presents the artist in a professional light, providing media outlets with the key details they need to cover the story. It’s a simple, effective way to announce:
  • New work (e.g., albums, exhibitions, performances)
  • Collaborations or partnerships
  • Awards and recognitions
  • Artistic milestones such as anniversaries, achievements, or retrospectives
A press release gives artists control over their narrative, ensuring the media and public receive accurate, engaging, and timely information.

How to Format a Press Release for an Artist
Formatting a press release is essential for ensuring that journalists and media outlets can easily digest the information. Here’s a step-by-step guide on how to format a professional and effective press release for an artist:

1. Headline
The headline is the most important part of the press release as it grabs the reader’s attention. It should be short, compelling, and clear, ideally no longer than one line. It needs to summarize the main point of the announcement and give a reason for journalists to read on.
Example:
"Emerging Artist Jane Doe Announces Debut Solo Exhibition in New York"

2. Subheadline (Optional)
A subheadline provides additional context or details that expand on the headline. It should still be brief, but it offers another opportunity to hook the reader with important or interesting information.
Example:
"‘Fragments of Identity’ explores themes of memory and self in mixed-media works."

3. Date and Location
This section lists the date and city from which the press release is being issued. Place this at the beginning of the first paragraph. It provides context for the timeliness of the news and the relevant location of the artist or event.
Example:
NEW YORK, July 1, 2024 --

4. Lead Paragraph
The first paragraph is critical because it contains the most important information. This is known as the lead. It should answer the fundamental questions: who, what, when, where, and why. This section must be straightforward and informative, as busy journalists may only read the first few lines.
Example:
Jane Doe, an emerging visual artist based in Brooklyn, will debut her highly anticipated solo exhibition, ‘Fragments of Identity,’ at the Blue Sky Gallery on July 15, 2024. The exhibition, which runs through August 30, features over 20 mixed-media pieces that delve into themes of memory, identity, and the human experience.

5. Body of the Press Release
The body paragraphs expand on the details introduced in the lead paragraph. This is where you can provide additional information about the event or project, the artist’s background, and any relevant context. Key elements to include in this section are:
  • Description of the project: Explain the concept behind the artwork, album, or performance. What inspired the artist? What themes or techniques are being explored?
  • Quotes: Including a quote from the artist or a gallery director adds a personal touch and can make the release more engaging.
  • Additional details: Provide logistical information such as dates, venues, ticket availability, or online access to the event.
Example:
Jane Doe’s work is known for its bold use of mixed media, combining painting, sculpture, and found objects to explore the fragmented nature of memory and personal identity. ‘This exhibition reflects my journey of self-discovery through art,’ Doe explains. ‘Each piece captures a moment, feeling, or memory that has shaped who I am.’
Curated by Blue Sky Gallery’s renowned director, Sarah Johnson, the exhibition will showcase Doe’s latest works alongside a selection of past pieces, offering a comprehensive look at her evolving artistic style.

6. Call to Action
This section tells readers what to do next. Whether it’s to attend the exhibition, review the album, or schedule an interview with the artist, make it clear how the reader can engage further.
Example:
For media inquiries, interviews, or high-resolution images, please contact: [Publicist’s Name] at [Email Address] or [Phone Number].
For more information about the exhibition, visit www.janedoeart.com.

7. Boilerplate (Artist’s Bio)
The boilerplate is a short, standardized paragraph that gives background information about the artist. This is where you can summarize the artist’s career, their notable achievements, exhibitions, or any key information that helps build their profile. Keep it concise, but make sure it highlights the artist’s credentials and unique voice.
Example:
About Jane Doe
Jane Doe is a Brooklyn-based visual artist whose work explores themes of memory, identity, and personal history. A graduate of the School of Visual Arts, Doe has exhibited her work in group and solo shows across the United States. Her use of mixed media and found objects reflects her interest in the fragmented nature of human experience. Doe’s work has been featured in several art publications, including Art Daily and The Modernist Review.**

8. Contact Information
Conclude the press release with full contact information, including the name of the publicist or media contact, their phone number, email address, and any relevant social media links. Make it easy for journalists to reach out for additional information or interviews.
Example:
Media Contact
Jane Doe Art
Publicist: Sarah Williams
Phone: (123) 456-7890
Email: [email protected]
Website: www.janedoeart.com
Instagram: @janedoeart

9. End Notation (###)
The notation "###" at the bottom of the press release signals the end of the document. It’s a traditional element in press release formatting to show there is no further information.

Formatting Tips
  • Keep It Concise: A press release should be one to two pages in length (no more than 500 words). Stick to the essential information and avoid unnecessary details.
  • Use Clear Language: Avoid jargon and overly complex language. The goal is to communicate clearly and effectively to a wide audience, including journalists who may not be familiar with the artist’s work.
  • Professional Tone: While it’s important to convey excitement and passion, a press release should maintain a formal and professional tone.
  • Proofread: Typos, grammatical errors, or incorrect information can undermine the professionalism of your press release. Be sure to carefully proofread the document before sending it out.

A press release is an invaluable tool for artists to promote their work, build a media presence, and gain public recognition. When properly formatted, it serves as a concise, informative, and professional communication that helps generate interest and media coverage for an artist’s new project, exhibition, or achievement. By following these guidelines and maintaining a clear, engaging tone, artists can use press releases to expand their visibility and share their unique artistic voice with the world.

In your journal brainstorm things you can do a press release about that you are working on. Think of places you can send them to.
